MailReach vs Instantly Pricing for Warm-Up at 5, 25 and 100 Mailboxes

MailReach charges per mailbox: $25 a month each for 1 to 5 mailboxes, $19.50 for 6 to 20, $18 for 21 to 50 and $16 for 51 to 100, about 20% less on yearly billing. Instantly includes warm-up for unlimited mailboxes inside every sending plan, from $47 a month. Warming 25 mailboxes costs $450 a month on MailReach and nothing extra on Instantly, so the real question is whether you need MailReach's independent spam testing or a sending platform.

Most comparisons of the two quote MailReach at a flat $19.50 per mailbox. That is the price for 6 to 20 mailboxes only. We read the calculator code on MailReach's pricing page, and the per-mailbox rate is a four-step ladder applied to every mailbox you hold, not just the extra ones. Every total below is our arithmetic from that ladder and Instantly's published plans.

Instantly does not sell warm-up on its own. Its warm-up comes with an outreach plan: Growth at $47 a month (5,000 emails, 1,000 contacts), Hyper Growth at $97 (125,000 emails, 25,000 contacts) and Light Speed at $358 (500,000 emails, 100,000 contacts), each with unlimited email accounts and unlimited warm-up. MailReach, by contrast, sends nothing for you. It warms the mailboxes you connect and tests where your emails land, whatever tool you send from.

The MailReach mailbox ladder, and the 5-versus-6 quirk

Because the tier rate applies to every mailbox, buying one more mailbox can lower the whole bill. Five mailboxes cost 5 x $25 = $125 a month. Six cost 6 x $19.50 = $117. The same thing happens at the next two breaks: 20 mailboxes are $390 and 21 are $378, while 50 are $900 and 51 drop to $816.

Over 100Quote from MailReach

If you are sitting at 5, 20 or 50 mailboxes, adding one is cheaper than staying put, and it gives you spare sending capacity. That is a rare case where a vendor's own pricing pays you to grow.

What does warm-up cost for 25 mailboxes?

Warming 25 mailboxes costs $450 a month on MailReach ($360 yearly) and $0 extra on Instantly, where warm-up is part of the $97 Hyper Growth plan you would need anyway to send from 25 mailboxes. At around 30 emails a day per mailbox, 25 mailboxes send roughly 22,500 emails a month, more than Instantly Growth's 5,000, so Hyper Growth is the honest comparison.

Put another way, 25 mailboxes on MailReach cost about 4.6 times Instantly's whole Hyper Growth plan, and Hyper Growth also does the sending. A team already sending through Instantly has no pricing reason to add MailReach for warm-up alone.

When MailReach is worth paying for

MailReach makes sense when you do not send through Instantly, or when you want deliverability checks that sit outside your sending tool. The All-In-One plan includes at least 20 spam test credits a month, each test showing where an email lands across inbox providers, along with SPF, DKIM and DMARC checks and blacklist monitoring. Extra credits cost $30 a month for 50, $55 for 100 and $95 for 200.

  • You send from Outlook, Gmail or a CRM sequencer that has no warm-up of its own.
  • You run an agency and need one deliverability dashboard across clients on different sending tools.
  • You have a handful of high-stakes mailboxes, such as a founder's or an account executive's, where inbox placement matters more than cost per mailbox.

For two or three mailboxes the bill is $50 to $75 a month, which is easy to justify if those inboxes carry your pipeline. At 50 mailboxes the same service is $900 a month, and that is where most volume senders switch to a sender with warm-up built in. Our MailReach alternatives comparison covers Warmbox, lemwarm and the other per-mailbox tools at each size.

When Instantly is the cheaper choice

Instantly wins on price as soon as you want to warm and send from more than two mailboxes in the same tool. Its $47 Growth plan warms unlimited mailboxes, though its 5,000 email allowance means real sending from more than a few mailboxes needs Hyper Growth at $97. Yearly billing drops those to $37.60 and $77.60.

Two caveats are worth knowing before you pick it. First, Instantly's contacts allowance is a standing cap across all campaigns, not a monthly refill, so a growing list eventually pushes you up a plan. Second, Instantly sells lead data as a separate credits plan, so the plan price covers sending and warm-up only. The full ladder, including Light Speed and the bundles, is on our Instantly pricing page.

Could you connect mailboxes to Instantly purely for warm-up and send from another tool? Nothing on Instantly's pricing page forbids it, and $47 for unlimited warm-up undercuts MailReach from the second mailbox. But you would be paying for a sending platform you do not use, and you would lose the independent spam tests that are MailReach's real product.

Does Instantly include spam testing?

Instantly's outreach plans are priced around sending, warm-up and contacts; MailReach is priced around warm-up plus placement tests. If you want a test that tells you where a given email lands before a campaign goes out, MailReach includes 20 a month and sells more in packs. If you only want warm-up to keep new mailboxes healthy, Instantly's included warm-up covers it. You can also run a quick check of your copy and setup with our email deliverability checker before deciding whether you need a paid testing seat at all.

Hidden costs on both sides

Neither price includes the mailboxes themselves. Google Workspace and Microsoft 365 Business Basic each run about $7 a user a month, so 25 mailboxes add around $175 a month before warm-up. Cheaper cold email mailbox resellers sell Google or Outlook mailboxes for about $3 to $5 a month plus domain fees. Each new mailbox also needs a matching name, reply-to and footer; teams running dozens of inboxes often set that once with company-wide email signature management rather than editing every mailbox by hand.

On MailReach, the cost to watch is spam test credits. Twenty a month is enough to test one variant per campaign for a small team. An agency testing every client campaign weekly can need 200 or more, which adds $95 a month.

Where ColdMailer fits

ColdMailer includes warm-up with a daily limit for every inbox you connect, and it writes a separate email for each prospect. You connect your own Google Workspace, Microsoft 365 or SMTP inbox, so there is no per-mailbox warm-up fee and no mailbox resale. Starter is $49 a month for 1,000 emails from 2 inboxes, Pro is $99 for 5,000 emails from unlimited inboxes and Enterprise is $249 for 25,000, all half price on yearly billing.

That makes it a fit for a team warming a few inboxes to write to a short list of valuable accounts, the same buyer who might otherwise pay $25 a mailbox on MailReach. It does not include placement tests or a lead database, so if you need those, MailReach and Instantly each do one of them well. The email warm-up page explains how our warm-up and daily caps work, and what email warm-up costs across tools compares the wider market.

MailReach vs Instantly pricing questions

How much does MailReach cost per mailbox?

MailReach All-In-One costs $25 per mailbox a month for 1 to 5 mailboxes, $19.50 for 6 to 20, $18 for 21 to 50 and $16 for 51 to 100. Yearly billing lowers those to $20, $15.60, $14.40 and $12.80. Above 100 mailboxes MailReach prices by quote.

Is Instantly warm-up free?

Warm-up is included at no extra charge in every Instantly outreach plan, starting with Growth at $47 a month. It is not available without a plan. Each plan covers unlimited email accounts, so warming 5 or 100 mailboxes costs the same.

Is MailReach better than Instantly?

They solve different problems. MailReach is a standalone warm-up and spam testing service that works with any sending tool. Instantly is a sending platform with warm-up included. For warm-up alone across many mailboxes, Instantly is far cheaper; for independent placement tests, MailReach is the one with tests built into the price.

Does MailReach have a free trial?

MailReach's pricing page offers no standing free trial for warm-up. When we checked it was running a promotion of 20% off the first 30 days of warming a first mailbox, and it advertises a free single spam test.
