Mailshake vs Instantly Pricing: Per Seat Billing Against Flat Volume Plans

Mailshake is cheaper for one sender and Instantly is cheaper for everyone else. Mailshake bills per user, $29 to $99 a seat a month. Instantly bills per account on volume, from $47 a month with unlimited mailboxes. Two Mailshake seats on Email Outreach cost $98 a month, which is already more than Instantly Hyper Growth at $97 for 125,000 emails.

That is the whole decision in two sentences, but the details decide which side of the line you sit on: contact caps, mailbox allowances, the trial and refund terms, and whether anyone on your team makes phone calls. Mailshake vs Instantly pricing side by side

Instantly sells its sending tool, called Outreach, separately from its lead database credits. The Outreach plans are the ones that compete with Mailshake, so those are the ones compared here.

Read the billing column before the price column. Every Mailshake price is per seat. No Instantly Outreach price is: one account covers the whole team, with unlimited mailboxes and warm-up on every plan.

What each price actually buys

Two lines matter most. Instantly's contact cap is a standing limit across all your campaigns, not a monthly refill, according to its help center. On Growth that is 1,000 people loaded at any time, which a founder working a real list will hit within weeks. Mailshake has no contact cap on any plan. On the other side, Mailshake's mailbox allowance is unclear on its own site: the plan cards say 1, 2 and 10 email addresses per account, the pricing FAQ says one mail account per user you pay for, and a February 2025 help article says up to five on the top plan.

Which is cheaper at your team size

Because one tool charges per person and the other per volume, the answer changes with headcount. Here are the list prices for the setups we see most often.

Mailshake wins cleanly at one sender under 1,500 emails a month, by $18. At one sender and 5,000 emails the two cost almost the same, $49 against $47, and Mailshake's unlimited contacts make it the better buy for anyone working a list bigger than 1,000 people. From two senders on, Instantly wins, and the gap widens with every seat: $148 a month at five senders, $393 at ten.

Yearly billing moves the numbers without changing the order. Mailshake takes $4 a month off Starter and Email Outreach and $14 off Sales Engagement per seat, which is 8 to 14 percent. Instantly takes 20 percent off its Outreach plans. At two senders on yearly billing that is $90 a month for Mailshake against $77.60 for Instantly Hyper Growth.

Cost per email: where the two really split

Mailshake's paid email plans have no send cap, so cost per email depends on how hard you run each inbox. Instantly publishes a fixed allowance, so its cost per email is arithmetic.

For Mailshake Email Outreach, the practical ceiling is your inboxes, not the plan. Two inboxes held to about 40 emails a working day, a conservative pace many cold email senders use, send roughly 1,700 emails in a 21 day month. That makes a single $49 seat about $29 per 1,000 emails in practice, three times Instantly Growth and over 35 times Hyper Growth. Mailshake is not built to be the cheapest way to send volume. It is built to give a small team sequences, data and calling in one seat.

Mailboxes: Mailshake's add-on is cheaper than it looks

Mailshake's pricing page lists Ready to Use Mailboxes at $12 a month. The mailbox feature page explains that the $12 buys one domain with five mailboxes, with SPF, MX and DKIM set up, or $129 a year. That is $2.40 a mailbox a month, and a lot of comparisons get it wrong by reading it as $12 an inbox.

The mailboxes are cheap. Connecting them is the constraint. Instantly lets every plan connect unlimited mailboxes, so ten domains and fifty inboxes cost you the mailbox bill and nothing more. On Mailshake, if support applies the one mail account per user rule from its FAQ, fifty inboxes means fifty seats. Ask before you buy.

Data and calling: the costs that sit outside the plan

Mailshake's Data Finder add-on costs $19 a month, or $17 yearly, and is listed with unlimited credits. Instantly's database is a separate credits subscription starting at $47 a month for 1,500 credits, or $9 for 150 on a smaller tier its help center lists. If you want prospect data from the same vendor, Mailshake is far cheaper on data.

Calling is the other gap. Mailshake's Sales Engagement plan adds 5 phone numbers and a power dialer with unlimited North American minutes for $50 a seat more than Email Outreach. If your reps follow up by phone and only need a number to call from and take callbacks on, a cloud business phone line usually costs less than that $50 step up per rep, and it works alongside either tool.

Trial and refund terms

Instantly offers a free trial of 250 contacts and 1,000 emails. Mailshake has no free trial and collects payment up front, and its help center says it does not issue refunds or pro-rated refunds for cancellations. That makes the order of testing obvious: trial Instantly for free, and if you test Mailshake, do it on one month of monthly billing rather than a yearly plan you cannot get back.

Which should you pay for?

Pick Mailshake if you are one to three people, you want email sequences, a prospect database and phone calls in one seat, and your list is bigger than Instantly Growth's 1,000 contact cap.
