Reply.io vs Smartlead

Reply.io vs Smartlead Pricing, Cost per Seat and per 1,000 Emails

Smartlead starts at $39 a month with no per-user price. Reply.io starts at $59 per user and meters the people you contact, not the emails. For email-only outbound Smartlead is usually cheaper; for LinkedIn and calls in one sequence, Reply.io earns its price.

Prices read from reply.io/pricing and smartlead.ai/pricing in October 2026. Totals and per-email costs are our arithmetic.

How Reply.io and Smartlead bill you

Reply.io meters people

An active contact is a unique person first emailed in a billing month. Every follow-up to them that month is included.

Smartlead meters emails

Each plan lists a monthly email allowance and a contact allowance. Follow-ups count against the email number.

Seats on Reply.io

Per user up to 5,000 contacts, unlimited users from 10,000. Multichannel is per user at every volume.

No seats on Smartlead

One account price for the whole team. Agencies pay $29 a month per white-label client workspace.

Channels

Reply.io bundles LinkedIn and calls on Multichannel. Smartlead is email-first and sells calling as credits.

Infrastructure

Both sell mailboxes and domains next to the plan. Warm-up is included on both.

How it works

How to choose between Reply.io and Smartlead

Step 01

Count the channels you really use

If reps need LinkedIn and calls inside the sequence, price Reply.io Multichannel. If it is email only, start with Smartlead.

Step 02

Count users, then contacts

Two or more users on Reply.io means pricing the 10,000 contact step, which is unlimited users.

Step 03

Multiply prospects by steps

That is your Smartlead email number. Pick the plan whose allowance covers it with room for bounces.

Step 04

Add mailboxes and domains

Budget about $4.50 to $5 per mailbox a month on either platform before you compare totals.

Reply.io vs Smartlead pricing side by side

Smartlead starts at $39 a month and Reply.io at $59 per user a month, and the two bill on different meters. Smartlead sells a fixed number of emails and contacts per plan with no per-user price. Reply.io's Email Volume plan sells active contacts, meaning unique people you email for the first time in a billing month, and every follow-up to them is included.

Plan levelReply.io Email VolumeSmartlead
Entry$59 per user, 1,000 active contacts ($49 yearly)Base $39, 6,000 emails, 2,000 contacts ($32.50 yearly)

Top published$999 for 100,000 contacts ($899 yearly)Unlimited Prime $379, 500,000 emails ($314.60 yearly)
SeatsPer user up to 5,000 contacts, unlimited from 10,000No per-user price on any plan
Annual saving8% to 17% depending on the stepAbout 17% on every plan

Reply.io also sells a Multichannel plan at $99 per user a month ($89 yearly) with LinkedIn and calling built in, and AI SDR plans from $500 a month on a yearly commitment. Smartlead's tiers stop at Unlimited Prime; above that it sells managed services by quote.

What the same month of outbound costs on each

For most email-only workloads Smartlead costs roughly a third to two thirds less than Reply.io, and the gap widens with volume. We priced six realistic months on both live pricing pages. Reply.io is priced on new prospects and seats; Smartlead on total emails sent, so each row lists both numbers.

WorkloadReply.ioSmartlead
Solo founder, short cadence: 1,000 new prospects, 4 steps, 1 user (4,000 emails)$49 yearly, $59 monthly (1,000 contacts)$32.50 yearly, $39 monthly (Base)
Solo founder, 7-step cadence: 1,000 new prospects, 7 steps, 1 user (7,000 emails)$49 yearly, $59 monthly (1,000 contacts)$78.30 yearly, $94 monthly (Pro (Base caps at 6,000))
3-person team: 5,000 new prospects, 4 steps, 3 users (20,000 emails)$159 yearly, $179 monthly (10,000 contacts, unlimited users)$78.30 yearly, $94 monthly (Pro)
SDR pod at volume: 25,000 new prospects, 3 steps, 5 users (75,000 emails)$259 yearly, $299 monthly (25,000 contacts)$78.30 yearly, $94 monthly (Pro)
Outbound agency: 50,000 new prospects, 3 steps, 5 users (150,000 emails)$459 yearly, $499 monthly (50,000 contacts)$144.50 yearly, $174 monthly (Unlimited Smart)
Lead-gen shop: 100,000 new prospects, 3 steps, 8 users (300,000 emails)$899 yearly, $999 monthly (100,000 contacts)$314.60 yearly, $379 monthly (Unlimited Prime)

The one row where Reply.io wins is the second: a long cadence to a small list. Because Reply.io meters people and not emails, a 7-step sequence to 1,000 prospects still fits the $59 step, while 7,000 emails overflow Smartlead Base's 6,000 and push you to Pro at $94. Totals are our arithmetic from the published tiers, not a quote from either vendor.

Cost per 1,000 emails sent

On monthly billing Smartlead sends 1,000 emails for between $1.16 and $13.43 depending on the workload, against $3.33 to $14.75 on Reply.io. Per-email cost is the fairest single number when the meters differ, because it ignores how each vendor slices its plans.

Monthly volumeReply.io per 1,000Smartlead per 1,000
4,000 emails a month$14.75$9.75
7,000 emails a month$8.43$13.43
20,000 emails a month$8.95$4.70
75,000 emails a month$3.99$1.25
150,000 emails a month$3.33$1.16
300,000 emails a month$3.33$1.26

Read the table with one caveat. Reply.io's price per 1,000 drops the more follow-ups you send to each person, since follow-ups are free inside a billing month. If your average cadence is six or seven steps, Reply.io's effective rate falls fast, while Smartlead's stays flat.

The seat rule that flips Reply.io's ladder

Reply.io charges per user on the 1,000 to 5,000 contact steps and switches to unlimited users at 10,000 contacts. That break means a team of two or more is usually better off buying the 10,000 step even when it only needs 5,000.

Users5,000 contacts, yearly10,000 contacts, yearly
1$89$159
2$178$159
3$267$159
5$445$159

Smartlead has no equivalent trap because none of its plans carry a per-user price. A five-person team on Smartlead Pro pays the same $94 a month as one person. If you are comparing the two for a team, always compare against Reply.io's 10,000 contact step, not the 5,000 one most roundups quote.

Multichannel is where Reply.io earns its price

If your reps need LinkedIn steps and calls inside the same sequence, Reply.io Multichannel at $89 per user yearly is the cheaper way to get them. It includes one LinkedIn automation account and one calls and SMS seat per user. Bought as add-ons on Email Volume, the same pair costs $69 plus $29, or $98 a user, before the plan itself.

Smartlead is built as an email engine. Its pricing page sells voice calling as SmartDialer credits from $9 a month and lists no per-user LinkedIn seat. For a five-rep team running email, LinkedIn and phone together, Reply.io Multichannel is $445 a month yearly, and that is a fair price for one inbox and one timeline across three channels. For a team that only sends email, the same $445 buys features nobody opens.

Mailboxes and domains are a second bill on both

Neither plan price includes the inboxes you send from, and 25 mailboxes adds roughly $118 to $128 a month on either platform. Both sell infrastructure next to the plan.

ItemReply.ioSmartlead (via partners)
New mailbox$5 a month$4.50 a month (Google or Outlook)
New domainFrom $6 a year$13 a year
Pre-warmed mailbox$15 a month, domain from $25 a year$9 a month, domain $18 a year
25 mailboxes on 5 domainsAbout $127.50 a monthAbout $117.92 a month

Smartlead also sells dedicated sending IPs as SmartServers at $39 a server a month, three of which come with Unlimited Prime. Warm-up is included on both platforms at no extra charge. The 25-mailbox totals are our arithmetic with domain fees spread across twelve months.

Agencies pay differently on each

For an agency with ten clients, Reply.io Agency Core at $210 a month undercuts Smartlead Pro with ten white-label workspaces at $384. Smartlead charges $29 a month per client workspace from Pro upward. Reply.io's Agency Core covers unlimited clients and users, with white label sold as an option whose price is not published.

Two cautions. Reply.io's own page shows $210 on the Agency plan card and "from $166" in its comparison table, so ask which applies before you sign. And LinkedIn on Reply.io is still $69 per account on top. If your agency is email-only and sends heavy volume, Smartlead Unlimited Smart at $174 with a handful of white-label workspaces often lands below Reply.io once Reply's contact ladder passes 25,000.

Trials and annual billing

Both offer a free trial without a permanent free plan. Smartlead's trial needs no card, and at the time we checked it was also advertising 50% off the first month on any plan. Reply.io offers a trial on Email Volume and a 14-day trial on Multichannel.

Annual billing is not equal. Smartlead's discount sits close to 17% on every tier. Reply.io advertises "up to 17%", which is true only at the 1,000 contact step; at 50,000 contacts the yearly commitment saves 8%. If you are buying the larger Reply.io steps, monthly billing costs little more and keeps you free to leave.

Where ColdMailer fits next to both

ColdMailer is for the team that writes to a few hundred or a few thousand high-value prospects a month and wants every email written for the person reading it. It connects to your own Google Workspace, Microsoft 365 or SMTP inbox, writes a separate message for each prospect, and sends it with up to five follow-ups that stop on reply.

Pricing is flat on emails sent: Starter $49 a month for 1,000 emails, Pro $99 for 5,000 and Enterprise $249 for 25,000, with annual billing at half price. There is no seat multiplier and no contact meter. ColdMailer does not include a lead database, LinkedIn steps or a dialer, so if you need those, Reply.io Multichannel is the honest pick, and if you need 90,000 emails a month, Smartlead Pro is cheaper per email than we are. See the full Reply.io pricing ladder and our Smartlead pricing breakdown for every tier.
