Cold email software costs between $29 and $99 a month for a single-user plan at almost every major vendor, and between $174 and $555 a month once you move into agency volume. That plan price is rarely the real bill. Sending domains, mailboxes, warm-up and per-seat or per-prospect add-ons typically double it, so a $39 plan often lands near $150 a month by the time the first campaign goes out.

The six things that decide what you actually pay

The pricing model, not the headline price

A $39 plan with unlimited mailboxes and a $49 per seat plan look similar on a comparison chart and behave nothing alike. Four seats turns the second one into $196 a month. Woodpecker's per-prospect model is cheaper than both in a slow month and more expensive in a busy one. Work out your bill at your real volume and headcount before you compare anything.

Mailboxes, which nobody quotes upfront

Google caps a Workspace mailbox at 2,000 messages a day, but safe cold sending is closer to 30 a day per mailbox. Sending 10,000 cold emails a month means roughly 16 mailboxes. At $7.00 per user per month on the annual commitment, that is $112 a month in mailboxes alone, more than twice the typical software plan.

Sending domains

You do not send cold email from your main domain. Three mailboxes per lookalike domain is the common ratio, so 16 mailboxes means 6 domains. A .com at Porkbun registers and renews at $11.08 a year, so that is about $5.50 a month. Small, but it is real and it never appears on a pricing page.

Warm-up, bundled or billed

Some plans include warm-up on every mailbox, some sell it. Standalone warm-up runs $19 to $159 a month at Warmbox and $149 and up at InboxAlly. Snov.io sells extra warm-ups at $5 a month per account and Woodpecker at $5 a month per email account. Check whether it is included before you compare two plans.

Annual commitment discounts

Nearly every vendor here discounts an annual commitment by 10 to 30 percent. Smartlead drops Basic from $39 to $32.50, Saleshandy drops Starter from $36 to $25, Instantly takes 10 percent off its bundles. That is real money, but it locks you in before you know whether the tool lands in the inbox.

Contact and credit limits

Plan tiers are usually gated on uploaded contacts and lead credits rather than emails. Instantly's Starter bundle includes 5,000 emails and 1,000 uploaded contacts a month; Scale moves to 100,000 emails and 25,000 contacts. A team that sends few emails to many contacts hits the ceiling on the wrong axis and upgrades early.

How to price your own setup in four steps

Start from monthly send volume, not from plan names

Write down how many cold emails you intend to send in a month. Everything else follows from that number. Ten thousand a month is roughly 455 a day across 22 business days, which is the figure that sizes your infrastructure. If you do not know the number yet, price two scenarios rather than guessing one.

Convert volume into mailboxes and domains

Divide daily volume by 30, the safe steady-state cold volume per mailbox, and round up. That is your mailbox count. Divide mailboxes by three and round up for sending domains. At 455 a day you need about 16 mailboxes across 6 domains. The calculator at the top of this page does this arithmetic for you.

Price the infrastructure before the software

Mailboxes at $7.00 a month and domains at $11.08 a year are usually the larger half of the bill. For the 16 mailbox example that is roughly $117 a month before any software. Once you see that number, a $39 plan and a $94 plan stop looking as far apart as they did.

Add software at your real seat count and volume

Now apply the pricing model. Per seat, multiply by headcount. Per tier, find the tier your volume and contact count actually land in, not the one you hope to stay in. Per prospect, multiply your monthly contacted prospects by the rate. Flat, add the flat number. Compare the totals, not the plan prices.

How much does cold email software cost?

Cold email software costs $29 to $99 a month for one user at the major vendors, and $174 to $555 a month at agency volume. Entry plans cluster tightly: Mailshake starts at $29, Saleshandy at $36, Smartlead and Snov.io at $39, Instantly at $47, Apollo at $49. Annual commitments take 10 to 30 percent off.

The spread only opens up at the top. Snov.io's Ultra tier is $738 a month, Instantly's Agency bundle is $555, and lemlist bills per user so a six-person team on Multichannel is $522 a month before anything else. That is where the pricing model starts to matter more than the sticker.

Why the plan price is not the bill

Because the plan buys you software, not the ability to send. Cold email needs sending domains you do not mind burning, mailboxes on those domains, and warm-up running on each one. None of that comes with a sequencing tool.

Worked out for 10,000 emails a month:

  • 16 mailboxes at $7.00 each, $112
  • 6 domains at $11.08 a year, about $5.50 a month
  • Software, $39 to $99

Total, $156 to $216 a month against a $39 headline. The infrastructure is roughly two thirds of it. This is the single most common budgeting mistake in outbound, and it is why so many teams quietly go over budget in month two.

Is cheaper cold email software worth it?

Below about $30 a month you are usually giving up warm-up, inbox rotation or mailbox count, and each of those costs more to replace than the discount saved. A $29 plan plus a $79 standalone warm-up subscription is worse value than a $49 plan with warm-up included.

The genuine savings sit somewhere else. Bringing your own SMTP and your own mailboxes, instead of renting done-for-you mailboxes at $5 to $12 each, is the lever that moves the number. So is picking a model that does not bill the dimension you plan to grow on.

Which pricing model is cheapest for you

There is no universal answer, which is exactly why vendors pick different models. Rough guide:

  • One person, steady volume: per-tier plans win. You are the cheapest customer any of these models has.
  • Small team, one shared workspace: per-seat pricing punishes you fastest. Four seats at $99 is $396 a month.
  • Agency with lumpy volume: Woodpecker's per-prospect billing tracks your revenue instead of your headcount.
  • Scaling volume on a fixed team: flat pricing, because volume never re-prices you.

What we could not verify, and why we say so

Two vendors people ask about are missing from the table. Reply.io and GMass did not return a readable price to us on July 25, 2026, and we will not repeat a number from someone else's roundup and present it as fact. ZoomInfo publishes no price at all, which we cover separately using figures from its SEC filings on what ZoomInfo costs.

It is worth knowing that published roundups disagree with vendors' own pages routinely. Several currently list Apollo Basic at $59; Apollo's page said $49 on the date above. Check the source before you budget from a blog post, including this one.

This is the moment pricing models diverge hardest. Per-tier plans push you up a tier, typically $174 to $358. Per-prospect billing rises linearly. Flat pricing does not move. Mailbox count rises for everyone, so budget about 76 mailboxes and 26 domains regardless of vendor.

Because mailboxes are the real constraint on cold email, not emails. A mailbox can safely carry about 30 cold emails a day, so volume scales with mailbox count. Vendors that sell done-for-you mailboxes bill $5 to $12 a month each. Tools that let you connect your own SMTP do not need that line at all, which is why unlimited mailbox policies have become common.

Only after you have proven the tool lands in the inbox for your domains and your audience. The discounts are real, 10 to 30 percent at every vendor here, but deliverability is account-specific and you cannot know it in advance. Run a month on monthly billing, measure inbox placement and reply rate, then commit.
