Smartlead bills per account and meters emails sent and contacts stored. Apollo bills per user, so four reps are four seats. Headcount drives an Apollo bill; send volume drives a Smartlead bill.

How much one person can send

Apollo Free and Basic allow one mailbox per user and 250 emails a day. Professional removes the daily cap and allows unlimited Google and Microsoft mailboxes plus 5 SMTP accounts per user. Smartlead lists unlimited mailbox connections on every plan.

Every paid Apollo seat carries a yearly credit allowance: 30,000 on Basic, 48,000 on Professional, 72,000 on Organization. An email reveal costs 1 credit, a phone number 8. Smartlead sells verified prospect emails as a $59 add-on on Base and Pro and includes them on Smart and Prime.

Warm-up and mailboxes

Smartlead includes warm-up on its plans and resells mailboxes through partners from $3.99 a mailbox a month plus a domain fee. Apollo does not sell mailboxes; you connect the Google or Microsoft inboxes you already pay for.

Channels beyond email

Apollo sequences mix email, call and LinkedIn task steps, and phone numbers come out of the same credit allowance at 8 credits each. Smartlead centers on email; calling is a separate product. If reps phone prospects every day, Apollo covers more in one seat.

Smartlead Prime is $379 a month, $314.60 annual, for 500,000 emails. Apollo Organization is $119 a seat on annual billing with a three-seat minimum, so the smallest Organization bill is $357 a month before any add-on.

How to choose between Smartlead and Apollo in four steps

Step 01

Count the people who will send

Apollo multiplies by seats, Smartlead does not publish a seat charge. With one sender the two are close. With three or more senders Apollo's bill triples while Smartlead's stays on the same plan.

Step 02

Decide where your leads come from

If you have no list and no data tool, Apollo's credits are the cheapest way to get one. If you already buy data elsewhere, you are paying for Apollo credits you will not use.

Step 03

Write down your monthly send

Under about 5,000 emails a month for one person, Apollo Basic's 250-a-day cap is workable. Above that, you need Apollo Professional per seat or Smartlead Pro, which covers 90,000 emails.

Step 04

Price the mailboxes too

Neither price includes the inboxes you send from. Allow roughly $4.50 a mailbox a month and $13 a domain a year through Smartlead's partners, or $7 a user a month on Google Workspace, then add it to both totals.

Smartlead vs Apollo: which one costs less?

Apollo costs less for one person who needs leads, and Smartlead costs less as soon as two or more people send from a list they already have. Apollo Basic is $49 a seat a month on annual billing and includes 30,000 credits a year. Smartlead Base is $32.50 a month on annual billing for 6,000 emails and 2,000 stored contacts, but verified prospect emails are a $59 add-on on that plan. The crossover is headcount: Apollo bills every user, and Smartlead's pricing page lists no per-seat charge.

The two tools are not the same kind of product, which is why the bills move so differently. Apollo is a contact database with a sequencer, dialer and meeting scheduler attached. Smartlead is sending infrastructure: unlimited mailbox connections, warm-up and rotation, built for people who already know who they are emailing. Most US teams that shortlist both are really choosing whether their data and their sending should live in one seat or two tools.

The middle row is where the comparison misleads people. Smartlead Pro at $78.30 and Apollo Professional at $79 look identical, but the Smartlead price covers the whole account and the Apollo price covers one person. Three Apollo reps on Professional pay $237.

Smartlead caps volume by plan, from 6,000 emails a month on Base to 500,000 on Prime. Apollo caps Free and Basic at 250 emails a day from one mailbox per user, and removes the daily cap on Professional.

Smartlead's compact pricing table lists Prime at 510,000 sends while the expanded card says 500,000. We use the lower number.

On Apollo, 250 a day across 22 business days is about 5,500 emails a month per Basic seat, all from a single inbox. That is well above the 30 to 50 a day many cold email practitioners keep each mailbox under, so a Basic seat that sends its full allowance concentrates the whole reputation risk on one address. Professional allows unlimited Google and Microsoft mailboxes and 5 SMTP accounts per user, which is what makes higher volume safe.

Is Apollo or Smartlead cheaper for lead data?

Per verified email, Smartlead Pro with its add-on is far cheaper than Apollo, and Smartlead Base with its add-on is the most expensive of the three options. The add-on price is the same $59 on both Smartlead plans, but the allowance is 15 times larger on Pro.

Apollo's allowance is stated per seat per year, so a Basic seat's 30,000 credits average about 2,500 a month. A phone number costs 8 credits and enrichment up to 9, so teams that pull phone numbers burn through the allowance much faster. Apollo's figure also buys the seat that sends, which is why the per-1,000 number is not a like-for-like price for data alone.

One structural point: Smartlead's add-on on Base costs more than the gap to Pro. Base plus the add-on is $98 a month on monthly billing, against $94 for Pro, which includes 15 times the sends and 15 times the verified emails.

Apollo vs Smartlead for a team of three to ten reps

This is where the two pricing models separate hardest. The table assumes each team sends from its own list and pays annually.

Apollo's column buys more than sending. Each Professional seat carries 48,000 credits a year, phone numbers at 8 credits each and unlimited sequences with A/B testing. A team that would otherwise pay for a separate data tool can come out ahead on Apollo. A team that already has both is paying for them twice.

Add mailboxes to both columns. Twenty-five Google mailboxes through Smartlead's partner at $4.50 each plus five domains at $13 a year is about $118 a month, and the same count on your own Google Workspace at $7 a user is $175. Our SMTP providers for cold email comparison prices the other routes.

Can you use Apollo and Smartlead together?

Yes, and many teams do: Apollo for finding and exporting leads, Smartlead for sending them across many warmed mailboxes. The combined cost for one person is Apollo Basic at $49 plus Smartlead Base at $32.50, so $81.50 a month on annual billing, which is still less than Smartlead Base with its own $59 data add-on.

The catch is the seat model again. Five reps each pulling leads from Apollo means five Apollo seats even if nobody sends from Apollo. Some teams keep one Apollo seat for list building and let everyone else work in the sending tool. Whether one person exporting leads for a whole team fits Apollo's terms of use is worth checking before you plan around it.
