Mixmax Alternatives and Mixmax Competitors for Gmail and Outlook Teams

The right Mixmax alternative depends on why you are leaving. If seat cost is the problem, lemlist's Email plan is $69 a month flat for the whole team. If the 1,500 recipient cap is the problem, Instantly or Saleshandy sell volume instead of seats. If you need Outlook Classic, Yesware runs there. If you want every first email written for its prospect and sent from your own SMTP, that is ColdMailer.

Competitor prices read from each vendor's own pricing page in September 2026. Team totals and per-recipient figures are our arithmetic.

Features

The four reasons teams look for a Mixmax alternative

The bill grows with every rep

Every paid Mixmax plan is per user. Five reps on Suite cost $445 a month on annual billing and $525 monthly, before add-ons or custom branding.

The recipient cap

Engagement Copilot and Suite cover 1,500 new sequence recipients per user a month. Reaching 3,000 means a $19 to $25 add-on per rep.

Outlook Classic and Mac

Mixmax runs in Outlook Web and new Outlook for Windows. Its help center lists Outlook Classic for Windows and Outlook for Mac (Classic) as not supported.

One rep's inbox does all the sending

Mixmax sends from each user's own mailbox. Teams that want to spread volume across several domains and inboxes usually move to a dedicated cold email tool.

Meetings and CRM you do not use

Suite is priced on meeting recording, round robin and full Salesforce sync. A team that only runs outbound pays for features it never opens.

Templates instead of real first lines

Sequences personalize with variables. If your reply rate depends on an opening written about each prospect, you need a writer, not a merge field.

Run this with ColdMailer

Connect your SMTP, let AI personalize every email, and start landing in the inbox. A new account gets 25 personalized emails to try, free.

How it works

How to switch from Mixmax without losing a month

Step 01

Export your sequences and recipients

Pull the active sequence recipients and their stages out of Mixmax so nobody gets a first email twice after the move.

Step 02

Connect your sending inboxes

Add the SMTP inboxes you send from. Starter takes two, Pro and Enterprise take as many as you have.

Step 03

Import the list and review the drafts

Upload the prospects. ColdMailer reads each one and drafts a separate email, which you edit or approve line by line.

Step 04

Send inside your daily limit

Set the send limit per inbox and let the campaign run. Every prospect shows its own delivery result afterward.

What is the best Mixmax alternative?

The best Mixmax alternative is the one that fixes the reason you are leaving. For seat cost, lemlist Email at $69 a month flat. For volume past 1,500 recipients a rep, Instantly or Saleshandy. For Outlook Classic, Yesware. For a first email written about each prospect and sent from your own SMTP, ColdMailer.

Mixmax is good at what it was built for: tracking, scheduling links, sequences and CRM activity inside a rep's inbox. Most teams that leave it are not unhappy with the product. They hit one of four walls, and each wall points to a different tool. The sections below take them one at a time, with the prices we read from each vendor's own page in September 2026. If you have not priced your current plan yet, our Mixmax pricing breakdown has every tier, add-on and team total.

Mixmax alternatives when the per-user bill is the problem

If you are paying for seats, move to a tool that is priced per plan. lemlist's Email plan is $69 a month ($55 annual) for unlimited users and 50,000 emails. Saleshandy Pro is $99 a month for up to ten seats. Instantly never bills per seat.

Five reps, 1,500 new prospects each a monthMonthly billingAnnual, per month
Mixmax Engagement Copilot, 5 users$325$245
Mixmax Suite, 5 users$525$445
Mailshake Email Outreach, 5 users$245$225
Yesware Premium, 5 seats$225$175
Saleshandy Pro, seats included$99$76
Instantly Hyper Growth, no seats$97$77.60
lemlist Email, unlimited users$69$55
ColdMailer Enterprise, 25,000 emails$249$124.50

The scenario is 7,500 new prospects a month across the team. On a three-step sequence that is 22,500 emails, which fits inside lemlist Email's 50,000, Saleshandy Pro's 100,000 and Instantly Hyper Growth's 125,000. ColdMailer sends first emails only, so 7,500 drafts sit on Enterprise. Totals are our arithmetic from published list prices.

Two cautions. Instantly's contact allowance is a fixed pool across all campaigns, not a monthly refill, so 25,000 contacts on Hyper Growth is roughly three months of this team's new prospects before you clean the list. And lemlist's flat price covers the Email plan only. Its Multichannel plan, with LinkedIn steps and calls, is $109 per user.

Mixmax alternatives when 1,500 recipients a month is not enough

Mixmax counts people enrolled in sequences, and Engagement Copilot stops at 1,500 per user a month. A rep who wants to reach 3,000 new people pays $49 plus a $19 add-on on annual billing, $68 a month, or $90 billed monthly.

That is fine for an account executive working a named list. It is tight for a single SDR doing outbound at volume, because the tools built for that sell emails and contacts, not people per rep. Here is one rep reaching 3,000 new prospects a month on a three-step sequence, 9,000 emails in total:

Tool and planMonthlyAnnual, per month
Mixmax Engagement + 1,500 recipients$90$68
Mixmax Suite + 1,500 recipients$130$108
lemlist Email$69$55
Mailshake Email Outreach$49$45
Saleshandy Pro$99$76
Instantly Hyper Growth$97$77.60

For one rep at this volume, Mailshake and lemlist are cheaper than Mixmax, and Saleshandy and Instantly cost a little more but leave room to grow to 100,000 and 125,000 emails a month. Saleshandy Starter ($41) and Instantly Growth ($47) look cheaper on the list but cap emails at 6,000 and 5,000 a month, below this rep's 9,000.

Is there a Mixmax alternative for Outlook?

Yes. Mixmax itself now runs in Outlook Web on Chrome and in new Outlook for Windows, but its help center lists Outlook Classic for Windows and Outlook for Mac (Classic) as not compatible. Yesware supports Outlook as an add-on and Gmail as a Chrome extension, with campaigns on Premium at $45 a seat monthly or $35 annual.

Mixmax also notes that some features, Meeting Copilot among them, remain Gmail only. So a Microsoft 365 team that is still on the classic desktop client either upgrades its Outlook, or moves to a tool that does not care which client the rep uses. Yesware is the closest like-for-like swap: tracking, templates, campaigns and a Salesforce sidebar on Enterprise. Watch its Pro plan, which caps campaigns at 20 recipients a month, so outbound really starts on Premium. Our Yesware vs Mixmax pricing comparison sets the two tier by tier.

Dedicated cold email tools sidestep the question entirely, because they connect to the mailbox over SMTP or OAuth and send from their own app. ColdMailer works that way: the rep's email client does not matter, and an Outlook mailbox connects the same as a Gmail one.

Mixmax competitors for a solo sender

A single founder or rep who mainly needs mail merge from Gmail does not need a sales engagement suite. GMass Standard is $29.95 a month or $249 a year, and Mailshake Starter is $29 a month for 1,500 sends.

GMass lists unlimited emails, with the practical ceiling set by your Gmail or Workspace account's own daily sending limit. Mixmax Inbox Copilot at $34 monthly is the closest Mixmax plan in price, but it allows only 100 sequence recipients a month, so for anything beyond tracking a solo sender gets more outbound room from GMass or Mailshake. Full plan tables are on our GMass pricing and Mailshake pricing pages.

When ColdMailer is the right Mixmax alternative

ColdMailer fits a team whose problem is the first email, not the follow-up. It reads each prospect, drafts a message written for that person, lets you edit and approve it, and sends it through the SMTP inbox you connect, with no charge per seat.

It does less than Mixmax around the email. There are no sequences, no meeting tools and no CRM sync, so a rep who needs all of that should stay on an engagement suite. Where it wins is the opening message on a cold list: Starter is $49 a month for 1,000 emails across two inboxes, Pro is $99 for 5,000 with unlimited inboxes, Enterprise is $249 for 25,000, and annual billing halves each one. Some teams keep Mixmax for reps managing live deals and use ColdMailer for first touches on new accounts. If that is the setup you are pricing, the sales engagement platform comparison covers the other half of the stack.

Use cases

Which Mixmax alternative fits which team

A five-rep team paying for seats

lemlist Email at $69 flat, or Saleshandy Pro at $99 with ten seats included, cuts a $325 Mixmax Engagement bill without dropping sequences.

2

An SDR past 1,500 new prospects

Instantly Hyper Growth or Saleshandy Pro sell emails and contacts rather than people per rep, with room up to 125,000 and 100,000 emails a month.

3

A Microsoft 365 team on Outlook Classic

Yesware runs as an Outlook add-in and a Gmail extension. Campaigns start on Premium at $45 a seat.

4

A founder writing to a short, high-value list

ColdMailer drafts one email per prospect for you to approve, from $49 a month with no seat fees.

FAQ

Mixmax alternatives, frequently asked questions

It depends on why you are leaving. lemlist Email at $69 a month flat is the cheapest way off per-user pricing, Instantly and Saleshandy suit volume past 1,500 recipients a rep, Yesware suits Outlook Classic, and ColdMailer suits teams that want each first email written for its prospect.

Inside the inbox, Yesware and GMass. For cold email volume, Instantly, Saleshandy, lemlist and Mailshake. At the enterprise end, Outreach and Salesloft, which price by quote. HubSpot Sales Hub competes when the team already runs its CRM there.

Yes, for teams. Five users on Mixmax Engagement Copilot cost $325 a month billed monthly. lemlist Email is $69 for unlimited users and Saleshandy Pro is $99 with ten seats. For one user the gap is smaller: Mailshake Email Outreach is $49 against Mixmax Engagement at $65.

Yes, in Outlook Web on Chrome and in new Outlook for Windows version 2206 or later. Mixmax's help center lists Outlook Classic for Windows and Outlook for Mac (Classic) as not compatible, and some features such as Meeting Copilot remain Gmail only.

Usually one of four reasons: the per-user bill as the team grows, the 1,500 sequence recipient cap per user, an Outlook client Mixmax does not support, or paying for Suite's meetings and CRM sync when the team only runs outbound.

It can send cold sequences from each rep's mailbox, but it is built as an engagement layer for account executives. Volume is capped per user and there is no mailbox rotation across domains, which is how dedicated cold email software is usually set up.

Yes. A common split is ColdMailer for the first email to new accounts, written per prospect and sent from dedicated inboxes, and Mixmax for reps who manage live conversations, meetings and CRM activity.

A new account gets 25 free emails to try, with no credit card. After that, Starter is $49 a month, Pro $99 and Enterprise $249, and annual billing halves each price.
